Overview


The Worker Document lets you store a comprehensive record of details about each individual in your immediate workforce. If you want Workers to login, use and directly contribute information to your system you will need to set up and issue each Worker with a User Login. You can of course control who has access to what functionality and information by assigning Roles.

 

The Master Administrator

This is a special Worker that always has administrator privileges. Typically the MA administers the system including setting up other Workers, assigning passwords etc. The Master Administrator is the primary point of contact between your company and salesorder.com.

 

NOTE: There is only one Master Administrator, however you can assign any Worker with a login to be the Master Administrator.

 

NOTE: There are some actions in salesorder.com that can only be performed by the Master Administrator, such as resetting the system.

 

Logins and User Licenses

You do not have to give a Worker a login to your system. For example if you want to hold details of staff members, but do not want them to be able to login simply create  associated Workers, but do not enable their logins.

 

Conversely, you may wish to give logins to people not directly employed by your company. For example your accountant or bookkeeper and other trusted parties.

 

NOTE:The number of logins you can have depends on the number of User Licenses you have purchased. If you try to create too many logins a warning message will be issues indicating that more licenses are required. Customizing Worker functionality with Roles

You may wish to restrict the functionality and data available to different categories of Worker. For example, you may want some Workers to be able to enter Expenses and Time sheets, but nothing else. To achieve this Workers can be assigned a suitable Role. Roles are used to customize the User Interface and assign specific functionality to Workers. For more information see Working with Roles.

 

Workers, Documents and Owners

Depending on their assigned Role, Workers with logins can create Documents in your system. When a Worker creates a Document (e.g. a Sales Quote) their name is automatically entered into the Owner field on the corresponding Document. Providing you have sufficient permissions, you can change the Owner of a Document at any time.

 

Access of other Worker's data

When you have multiple Workers with logins you may want to restrict what data a particular user can create, view or edit.

Creating a new Worker

To create a new Worker, from the Explorer click Company->Workers and click 'New Worker' from the Worker List.

 

Worker Key Facts

The Worker First Name must be entered.
The Worker # is a unique identifier/number associated with the Worker. See Working with Reference numbers (Ref #) for more details.
By default a Worker does not have login enabled. To enable a login, click the login tab and enter the login details.
On the account tab you can set the Worker currency. Once the currency is set it cannot be changed. The Worker balance will always be expressed in the selected currency. Moreover all transactions for the Worker, such as Expense Claims, will be in the selected currency.
The fields Office, Department and Team are useful because they can be used on some Reports as filters. So that, for example, you can report on Sales by Customer for a particular Department/Office/Team.
